How to buy

Before you pick up the phone, here is the whole thing.

Buying software you will run your company on should not start with a call you cannot picture the end of. So this is the sequence in full: every step from the first email to a live workspace, both amounts and what sets each of them off, what we need from your side at each stage, and what happens if you decide against it.

The short version

Two amounts, one invoice moment, and real work on both sides

There is no self-serve checkout, and there should not be one: the fee includes moving your data and training your staff, and neither of those can be done by a card form. What can be done in the open is telling you exactly what it involves.

You pay twice, in two different senses

One fee at the start, invoiced when setup begins, and then a monthly fee for each module you have switched on. Nothing per user, per shipment or per document.

The install, the configuration, the first load of your accounts and master data, your print layouts, the user roles and the training are all covered by the one-time fee.

The work on your side is real

Exports out of your current system, a chart of accounts and opening balances someone will sign off, samples of your documents, and a person who knows how the old system is used. It is named on every step below rather than discovered later.

From the first email to your team working in it

No step below carries a number of days. We have not measured them honestly enough to publish them, and a made-up fortnight would only be quoted back at us — so each step says what determines its length instead.

You get in touch

The contact form, the phone or email — whichever you prefer. What helps most is a sentence about what you run today and which parts of the business you want on one system. You are not asked to fill in a qualification questionnaire.

What we need from you

  • What you are running now, and whether you can export data out of it yourself
  • Which parts of the business you want on the system — or just the problem you want solved
  • Roughly how many staff would sign in. This sizes the training, not the bill: nothing is charged per user

  • We reply with what we would want to see, and offer a time to walk the system
  • If your answer is that you only want to look on your own, we point you at the demo and leave you to it

A session on your screens, not our slides

A walk through the modules you care about, against the way you actually work. If you send one export beforehand — your parties, or your chart of accounts — we load it in front of you, so you watch the import run on your own data instead of a demo company's.

What we need from you

  • Someone who knows how the current system is used day to day, not only who owns it
  • The handful of screens your team opens every morning — those are what you are buying
  • Optionally, one export file to load live

What we do

  • Walk the modules you named, screen by screen, and answer in the software rather than in principle
  • Run your file through the same four steps your own staff would use: upload, map the columns onto the screen's fields, dry run every row, then commit
  • Tell you what we cannot do. The known limits are published on the FAQ and we would rather you read them now than find them later

You choose the modules; the quote is arithmetic

There are only two numbers, and neither of them is negotiated module by module: every module costs the same per month, so the monthly figure is that rate multiplied by how many you switch on. You do not have to decide the whole estate now — modules are switched on and off per company afterwards.

What we need from you

  • A decision on which modules you start with
  • Your billing details, so an invoice can be raised against the right company

What we do

  • A written quote: the one-time fee, plus the monthly rate multiplied by the modules chosen
  • A straight answer on anything you want that is not there yet, rather than a roadmap promise
What is due

Nothing yet. This is the last point at which walking away costs you nothing but the time you have spent.

You go ahead, and the one-time fee is invoiced

The one-time fee is invoiced at the start of the setup. It is paid by bank transfer or cheque against an invoice from us, in Pakistan Rupees. It is the purchase of the software for your company plus the work of getting it live on your data — not a deposit held against a trial.

What we need from you

  • Whatever your side needs to raise a payment against an invoice
  • One person named as the point of contact for the setup

Your workspace is stood up

Installation, hosting and your own sign-in address, then the configuration everything else hangs off: the company itself, its branches, and the fiscal year your books run on. The fiscal year is set up with you — it is not a screen you have to go and find.

What we need from you

  • The registered company name and the branches you operate, exactly as they should print
  • The date your fiscal year starts, agreed with whoever closes your books
  • The sign-in address you want your staff to use

What we do

  • Install, host and configure the workspace, the branches and the fiscal year
  • Switch on the modules from your quote — and only those

Your accounts and your data are loaded

The longest step, and the one whose length is genuinely in your hands. Records point at each other, so they are loaded in dependency order: group and control codes, then the chart of accounts, then the rest of the code files, then your parties and agents, then opening balances, then employees, then live jobs and the documents raised against them. Each file is dry-run first — every row validated and counted — and nothing is written until those counters have been read.

What we need from you

  • Exports from the current system, keeping its own column captions where you can — they map themselves that way
  • Your chart of accounts and the opening balances, in the form whoever closes your books will sign off
  • Someone who can answer questions about your own codes. Nobody outside your office knows what a code file of yours means
  • A decision on how much history you bring: open jobs, outstanding invoices and balances are the minimum; years of closed work are a choice

What we do

  • Load every file in dependency order, dry run first, and show you what each pass would add, update or leave out
  • Split anything long — an import file carries up to 5,000 data rows
  • Come back to you with the systematic cause when a file is rejected, rather than a list of failed rows

Determined by how much history you bring across and how cleanly the old system exports it. This is the step that is worth preparing for before you start.

Your documents and your people are set up

Invoices and shipping documents print on your stationery, not on a template with our name on it, and every member of staff gets an account with the rights their job needs and no more.

What we need from you

  • A sample of every document you print today — invoices, house and master documents, whatever your customers already recognise
  • The staff list, and a decision on who is allowed to see what

What we do

  • Set the print layouts to your stationery
  • Create the user accounts and configure the role rights behind them

Determined by how many layouts you print and how finely you separate roles.

Training, then go-live

Each group is trained on the screens it will actually use, and we stand behind the first live jobs and the first invoices rather than handing over a login. Going live on the first day of a period is cheaper than the middle of one — mid-period means reconciling two systems across the changeover.

What we need from you

  • Your team, for long enough to be trained properly
  • A go-live date agreed with whoever closes your books

What we do

  • Train operations, accounts and your administrator on their own screens
  • Support the first live work, not just the switch-on

Determined by the size of your team and by the period you choose to start in.

The data step is the one worth preparing for. 130 screens carry the same four-step import — upload, map, dry run, commit — and the order files are loaded in is what decides whether the first pass works. The money

What you pay, and what sets each part off

Both figures are the ones on the pricing page — there is not a second price list for people who read this far.

Software purchase and setup

PKR 100,000 once

Paid once, at the start. It buys the software for your company and covers the work to get it running on your own data.

What triggers it

Accepting the quote. It is invoiced at the start of the setup, by bank transfer or cheque against an invoice from us, in Pakistan Rupees. Nothing before that point is charged for.

Each module you switch on

PKR 1,000 per module, per month

Every module is the same rate, so the monthly bill is that figure multiplied by how many you take — not by how many people sign in, how many shipments you move or how many documents you print.

What triggers it

Going live. Module fees are invoiced monthly from then on, and a module added or dropped later moves the bill from the next billing month.

Those are monthly figures. The one-time fee sits on top of them and is paid once, at the start. All amounts are in Pakistan Rupees and exclude sales tax, which is charged where applicable.

Hosting, updates, backups and support for the modules you have on. The included parts of the workspace carry no charge of their own:

  • My Portal — Every employee gets their own portal — payslips, attendance, leave requests, expenses, company news and policies.
  • Logs — A full activity trail of who changed what and when, across the workspace.

Who does what

The work, split honestly

A switch goes wrong when nobody said out loud which side was doing which part. This is that division, including the bit your own people have to learn.

Your operations staff

Learn the screens they already do this work on: quotations, air and sea jobs on both export and import, the house and master documents raised against them, manifests and loading programs. The layout follows the system they are coming off, which is the point of building it that way.

Your accounts staff

Learn the voucher screens and the ledger sitting under operations: cash and bank payments and receipts, journals, opening balances, and the reports that prove them. Finalising a freight document posts a balanced journal voucher of its own, so that much is not typed twice.

One administrator on your side

Learns users and role rights, and the import screens — so the next price list, batch of parties or year of history you decide to bring across is yours to load without asking us.

Us

The install, the configuration, the whole first data load, the print layouts, the roles and the training are ours to do and are covered by the one-time fee. What we cannot supply is the knowledge of your own codes and balances.

If it does not suit you

The way out, in the same detail as the way in

Any page can promise a good outcome. What a buyer is actually weighing is the bad one, so here it is without the softening.

Before anything is invoiced

Nothing is charged until you have accepted a quote, so the demo, the session on your screens and the quote itself cost you time and nothing else. If the fit is wrong, the cheapest moment to say so is at the session — and we would rather hear it there than be argued with in month three.

The one-time fee is not a trial deposit

It buys the software for your company and pays for the work of getting you live on your own data. That is why everything before it is free and unhurried: spend a while in the demo, price it up in the calculator, read the known limits, and only then take the step that costs money.

Once you are live

The monthly fee is billed month to month. Modules are switched on and off per company, and the bill follows from the next billing month, so dropping a module you are not using does not need anything reinstalling.

Your data leaves with you

The data is yours. On request we provide a full export of your records, and most master-data and transaction lists carry a CSV export you can take at any time while the workspace is live — which is a thing worth testing early, not at the end.
