Operations keys against three counterparty files, all under Initial Setup: Parties (your customers), Associate Codes (overseas agents) and Sub-Agent Parties.
Add a party
- Open Initial Setup → Parties.
- Press + Add Party.
- Fill in Party Code and Name — both are required.
- Set Sales Tax Type (PST, SST or ST) and Customer Grade if you grade your customers.
- Fill the address block: Address 1, Address 2, Address 3, City, Country, ZIP.
- Fill the contact block: Contact Person, CNIC, Phone, Mobile, Fax, Email, Website.
- Fill the registration block: Sales Tax No, NTN, Bank Account No, Export Reg No and date, Import Reg No and date.
- Set Credit Limit, and the release holds — B/L Hold, D/O Hold, Release Order.
- Set SMS Alerts and Email Alerts, leave Active as Yes, and save.
Associate Codes
An associate is the overseas agent an international invoice or credit note is raised to or received from. The form takes Associate Code, Name, five address lines, Country Code, Phone No., Fax No., Contact Person, Email and Website. The list shows Associate Code, Name, Country Code, Contact Person, Phone No. and Email.
Sub-Agent Parties
Sub-agents are held in their own file and picked on a job under "Sub Agent's Party". They are separate from Parties so that billing a customer and nominating a sub-agent never share one code.
Loading them in bulk
All three screens carry ⬆ Import, so a customer list exported from your old system can be loaded in one pass rather than keyed. See "Importing a CSV".
