The Data Block Date is the workspace's period lock. It is a single date, and the rule is simple: any finalised document or voucher dated on or before it is frozen โ it cannot be edited, un-finalised, or posted into.
Setting it
- Open Management โ Data Block Date.
- Press the add button.
- Enter the Data Block Date. The help text under the field restates what it does.
- Save.
The list
- Data Block Date ยท Set On โ so you can see the history of how the boundary has moved.
What it blocks
- Editing a finalised document or voucher dated inside the locked period.
- Un-finalising one.
- Automatic posting into it โ finalising a document dated in a closed period is refused, with a message naming the boundary and telling you to re-date the document or move the Data Block Date.
Heads up
Voiding a finance voucher inside a closed period is refused. Voiding a freight document is not yet stopped by the lock, so until that is corrected, treat the lock as your control over editing and re-posting on the freight side rather than over voids.
Working practice
Move the date forward once a month, after the month has been reconciled and its reports agreed. Moving it backwards to reopen a month is possible but should be a decision, not a habit โ every change to it is recorded.
